Hat Hire Terms & Conditions

The Extraordinary Hat Company

These Terms & Conditions apply to all hats hired from The Extraordinary Hat Company. By hiring a hat from us, you agree to the following terms.

1. Definitions

The term “Hat” refers to all hats, hatinators, fascinators and headpieces available for hire from The Extraordinary Hat Company.

The term “Client” refers to the person hiring the hat.

2. Hire Periods

Hats may be hired for the following periods:

4 days

7 days

10 days

16 days

23 days

The hire period begins on the agreed collection date and ends on the agreed return date, which will be confirmed at the time of booking.

3. Payment

Full payment for the hire must be made at the time of booking.

When hiring a hat, the Client will be required to provide accurate, complete and current credit or debit card details for a valid card they are authorised to use.

The Client must also provide:

Full name

Address

Contact telephone number

The Extraordinary Hat Company reserves the right to cancel any booking where full payment has not been received.

4. Security Deposit

A £100 refundable security deposit is required for each hat hired.

This deposit covers potential damage, loss, late return or cleaning beyond normal wear.

The deposit will be refunded within 3–5 business days after the hat has been returned and inspected to confirm it is in the same condition as when it was hired.

Refunds will be made via the original payment method where possible.

5. Collection & Returns

Hats must be collected and returned during normal shop opening hours, unless otherwise agreed in writing with The Extraordinary Hat Company.

Opening hours

Tuesday – Friday: 10:00am – 4:00pm
Saturday: 9:00am – 1:00pm
Sunday & Monday: Closed

If the hat leaves The Extraordinary Hat Company shop, it is considered to have been hired, regardless of whether it is worn or not.

Customers are responsible for returning the hat on or before the agreed return date.

Late returns may result in additional hire charges.

6. Hat Boxes

All hats are supplied in protective hat boxes.

All hat boxes must be returned with the hat.

A charge of £20 will be applied to replace any hat box that is not returned.

7. Care of the Hat

Clients are responsible for the hat from the moment it is collected until it is returned.

Reasonable care must be taken when wearing, transporting and storing the hat.

Clients must avoid:

Wearing the hat in heavy rain or extreme weather

Crushing or bending the hat

Spraying perfume, hairspray or cosmetics onto the hat

Excessive contact with makeup

Storing the hat outside the hat box provided

Failure to follow reasonable care instructions may result in repair or replacement charges.

8. Condition of Hats

All hats are carefully inspected before hire.

Clients must return the hat in the same condition as when it was hired, allowing for normal careful wear.

Hats must not be:

Altered or modified

Reshaped or adjusted

Cleaned or repaired by the Client

If any issues arise during the hire period, the Client must contact The Extraordinary Hat Company immediately.

9. Damage, Loss & Replacement

Clients are responsible for the hat throughout the hire period.

If a hat is returned with damage beyond normal wear:

Minor repairs may be deducted from the £100 deposit.

Significant damage may incur additional repair costs beyond the deposit.

If a hat is lost, stolen, irreparably damaged or returned in a condition that prevents it from being hired again, the Client may be charged the full replacement value of the hat.

Examples of damage that may incur charges include, but are not limited to:

Water damage or staining

Crushing or distortion of shape

Broken trims, feathers or embellishments

Excessive makeup, perfume or hairspray contamination

Any alterations made to the hat

Where possible, The Extraordinary Hat Company will attempt repair before replacement.

10. Late Returns

Hats must be returned by the agreed return date and time.

Late returns may incur additional hire charges.

If a hat is not returned and the Client cannot be contacted, the hat may be treated as lost and the replacement cost charged.

11. Cancellation Policy

If you need to cancel your hat hire, please notify The Extraordinary Hat Company as soon as possible.

Because hats are reserved specifically for your event date and cannot be hired to another customer during that period, the following cancellation terms apply:

More than 8 weeks before the hire date – Full refund of the hire fee

Between 8 and 4 weeks before the hire date – 50% refund of the hire fee

4 weeks or less before the hire date – Hire fee is non-refundable

Security deposits will always be refunded if the hire has not taken place.

12. Use of the Hat

Hats are hired for personal wear only.

They must not be:

Loaned to another person

Used for commercial purposes

Used in photoshoots, advertising, film or promotional work without written permission from The Extraordinary Hat Company.

13. Delivery & Circumstances Beyond Our Control

The Extraordinary Hat Company will not be liable for any delay or failure to deliver caused by circumstances beyond our control, including but not limited to:

Postal delays

Courier delays

Industrial action

Severe weather conditions

14. Privacy

The Extraordinary Hat Company collects personal information as part of the hat hire process.

By entering into a hire agreement, the Client consents to the collection and use of their personal data for the purposes of processing the hire.

All Client information remains strictly confidential and will never be shared with third parties.

15. Appointments & Hat Fittings

Prior to booking a hat, The Extraordinary Hat Company offers non-obligatory appointments so clients can try on hats and headpieces.

Appointments allow us to give you our full attention when selecting your hat.

Clients are encouraged to bring their outfit to the appointment so we can provide advice on fit, styling and how best to wear the hat.

16. Agreement

By hiring a hat from The Extraordinary Hat Company, you confirm that you have read, understood and agreed to these Terms & Conditions.
